JOB DESCRIPTION – Mental Health First Aid Administrator

Saint John of God Hospital, an independent 182 bedded acute psychiatric teaching hospital, is one of the leading European providers in mental healthcare treatment services, providing generic and specialist in-patient assessment and treatment to patients referred from across the country. The Hospital holds a Certificate of Registration with the Mental Health Commission as an “Approved Centre” in compliance with the Mental Health Act 2001.

THE  POST – Mental Health First Aid Administrator

Reporting to – Administrative Coordinator

Responsible to – Chief Executive

The following is intended for the guidance of the person assigned to the post but is not an exhaustive listing of the duties associated with the post and is intended for the guidance of the person assigned to the post but is not an exhaustive listing of the duties associated with the provision of operational and logistical support in the post of Mental Health First Aid Ireland Administrator.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • You will be required to operate an 18.5-hour working week and your hours of work will be as agreed with your line manager and in line with service needs.
  • You will be required to collaborate on the development and management of the standard operating procedures for Mental Health First Aid Ireland relating to areas such as database management, enquiry management, course booking, instructor records, and quality assurance procedures.
  • Ensure that anyone contacting or referred to Mental Health First Aid Ireland are serviced courteously, efficiently, professionally and promptly in line with the values of Saint John of God Hospital Ltd at all times.
  • Ensure that queries from the general public, corporate bodies or not-for-profit agencies or any other agency are received and reviewed accurately to ensure a timely and effective response is given to all queries relating to Mental Health First Aid Ireland.  Ensuring Initial corporate or not-for-profit enquiries are filtered through project leads initially. 
  • Assist with the production of regular reports, statistical information, updates and plans to the Mental Health First Aid Ireland Steering Group, Management Team and the Chief Executive on the performance of Mental Health First Aid while ensuring that up-to-date information is available for reporting and service planning purposes at all times.
  • Contribute to regular communication with the network of instructors in MHFA Ireland helping support their governance and QA requirements including the registration and feedback forms.
  • Assist with all financial recording, invoicing, receipting, credit and collection processes in line with internal control procedures as outlined by the finance department.
  • Assist in the maintenance of instructor records relating to up-to-date records (attendance, absenteeism, training, rostering,) and report on such records as and when required.
  • To participate in staff development and in-service training relevant to the post that may be organised from time to time.
  • To be fully familiar with the terms of the Safety, Health and Welfare at Work Act and all relevant policy documents of the Order i.e. Employee Handbook, Safety Statement, Guidelines for Investigation of Allegations of non-Accidental Injury and Abuse, etc.
  • To respect and operate within the framework of the tradition, character and ethics which govern the work of Saint John of God Hospital.
  • To ensure that all departmental reports and Centre records are confidential to the service at Saint John of God Hospital and to maintain confidentiality in respect of matters which come to your knowledge in the course of your official duties.
  • Liaise with the Mental Health First Aid Project Manager on all matters affecting Mental Health First Aid Ireland.
  • Any other such duties as assigned to you from time to time by the Chief Executive, Mental Health First Aid Ireland Project Director, Project Manager or Clinical Director and/or their nominee.
